Administrative Assistant: HR Specialist
The Brooklyn Center Community School (BCCS) District is seeking an Administrative Assistant/ HR Specialist to join our Team! The Administrative Assistant/ HR Specialist is responsible for performing difficult administrative work ensuring the proper operation of the school district office, providing administrative support to School Board, completing assigned HR processes, preparing and maintaining complex records, reports and files, and related work as apparent or assigned. Work is performed under the moderate supervision of the superintendent and HR Director.

Essential Duties and Responsibilities:
- Performs a wide range of administrative and secretarial support including, but not limited to, reception of callers and visitors, independently resolving as many matters as possible; report preparation and distribution, creation and maintenance of files/records; information exchange; ordering of supplies, mail screening, and responses as delegated; and providing customer service to internal and external sources; codes expenses and monitors accounts under the jurisdiction of the Superintendent.
- Provides information and assistance to employees, families, and the public. Responds to HR-related questions from employees and applicants.
- Prepares various records, information, and reports and assists departments in the preparation of information as needed.
- Maintains files, information, and records.
- Posts open positions, maintains accuracy in posting information. Assists with screening applicants and maintaining the applicant tracking system.
- Assists with orientation and onboarding of new employees.
- Responsible for the complete and accurate processing of employment information. Collects and processes new hire paperwork, drafts employment agreements, and updates employee records. Receives and processes employment changes including but not limited to a new hire, position changes, resignations, terminations, and retirements.
- Updates and distributes bargained employee seniority lists.
- Provides support on other HR-related tasks as requested.
- Prepares various records, information, and reports and assists departments in the preparation of information as needed.
- Monitors the School Board and Superintendent’s daily communications and handles the resulting information in an extremely confidential manner.
- Provides administrative support to the Superintendent and the School Board.
- Assists with district-wide communication as requested.
- Coordinates scheduling and physical arrangements for meetings.
- Attends meetings of the Board, prepares agendas, calendars, posts notices, and minutes of meetings.
- Follows up on actions of School Board activities and decisions.
- Updates district information on the website; maintains district policies and HR pages on the website.
- Coordinates purchasing and ordering materials as requested.
- Responsible for conducting regular and special elections by accepting filings, preparing resolutions for elections, completing and assembling various forms, scheduling election judges, overseeing ballot preparation, handling absentee voting, and keeping abreast of current election laws.
- Assist with planning and execution of special events such as annual kickoff, recognition events, etc.
- Other duties as assigned.
Knowledge, Skills, and Abilities Preferred:
- Knowledge of state and federal employment laws
- Knowledge of data management
- Strong knowledge of data privacy and confidentiality
- Understanding of records retention requirements
- Knowledge of school district policies and contract terms
- Technical proficiency in using multiple word processing, presentation and spreadsheet programs using Google and Microsoft Suite applications
- Ability to work under pressure
- Ability to deliver articulate verbal presentations and written reports
- Ability to establish and maintain effective working relationships with staff, students, parents, and the general community
- Ability to relate and communicate effectively with people of different cultural, ethnic, and socio-economic backgrounds
- Demonstrated success working effectively in a diverse, collaborative team environment, with skills in promoting cultural inclusiveness
- Ability to organize and perform work independently
- Ability to layout and type complex forms and tables
- Ability to be self-directed; highly skilled in attention to detail; ability to handle multiple tasks at once while dealing with constant interruptions

- Ability to read and interpret laws, regulations, and contracts.
Pay and Benefits: Competitive Pay and Benefits
Duty Days: 12 months, Full-time
Qualifications: Previous experience working in a school district and supporting school boards preferred.
